Why Your Business Needs an AI Usage Policy (And What It Should Cover)

An AI usage policy is the simplest and most immediately impactful step your business can take on AI governance. It costs nothing to create, and its absence leaves your business exposed.

Why policies matter now

AI tools are freely available to anyone with a web browser. Unlike previous technology shifts that required procurement and IT deployment, AI adoption happens one person at a time, without any formal decision. Staff are using AI not because the business decided to adopt it, but because the tools are there and they are useful.

Without a policy, your business has no official position on AI. There is no approved list of tools. There is no guidance on what data can or cannot be used. There is no process for evaluating new tools. There is no training. Each staff member is operating according to their own judgment, which may be excellent or may be dangerously uninformed.

For any business handling personal or sensitive data, this is a regulatory issue as much as a practical one. The ICO, GDPR, and sector-specific regulators all expect organisations to have appropriate governance over their use of technology. "We had no policy" is not a defensible position when something goes wrong.

What a good AI usage policy covers

An effective policy does not need to be long. It needs to be clear and actionable. Here are the areas it should address.

Approved tools

List the AI tools your business has approved for use, along with what each tool is approved for. If your company has deployed a private AI environment, that should be listed as the primary approved tool. If Microsoft Copilot has been rolled out with governance, that should be listed too. Everything else is either explicitly prohibited or requires approval before use.

Data handling rules

Define what data can and cannot be used with AI tools. At minimum, the policy should prohibit entering customer-identifiable information, confidential communications, and sensitive financial data into unapproved tools. For approved tools, the policy should specify what data types are permitted and any additional precautions required.

Prohibited uses

Be specific about what is not allowed. Common prohibitions include using consumer AI tools for customer-facing work, uploading company documents to external AI services, relying on AI output for professional advice or regulatory submissions without independent verification, and using AI to generate content that will be presented as the work of a named individual without disclosure.

Review and approval process

Define how new AI tools are evaluated. Who decides whether a new tool is approved? What criteria are used? How quickly will requests be assessed? Without a process, staff will either wait indefinitely (and use unapproved tools anyway) or stop asking.

Training requirements

Specify what training staff must complete before using approved AI tools. This should cover the tool itself, but also the data handling rules, the approval process, and how to recognise AI-generated content that may contain errors. A 30-minute briefing is sufficient for most tools. The key is that it happens before staff start using the system.

Consequences

State what happens if the policy is not followed. This does not need to be punitive. It needs to be clear. Staff should understand that the policy exists to protect them, the business, and its customers.

How to roll out a policy

A policy that sits in a shared drive unread does not help. The rollout matters as much as the content.

  • Announce the policy at a company meeting or town hall. Explain the reasoning.
  • Distribute the document and require a read receipt or acknowledgment.
  • Run a brief Q&A session so staff can ask questions.
  • Include AI usage policy awareness in new-joiner onboarding.
  • Review and update the policy at least annually, or when new tools are adopted.

A policy is the foundation. A controlled environment is the next step.

A policy tells staff what is expected. A controlled AI environment gives them a way to meet those expectations. The two work together. A policy without an approved tool is an instruction to stop using AI. A tool without a policy is AI adoption without governance. You need both.
